Your documents exist. The system to govern them doesn't.

Most organizations mistake storage for management. Years of accumulated files, inconsistent naming conventions, no version control, and sensitive documents accessible to people who shouldn't have them. AdventuReliable builds Content Management Systems with the governance layer that makes them actually work – for your teams and your auditors.

What's Included

Our CMS Build is a full implementation engagement – not a platform license and a user manual. We build the system, configure it around your organization, and train your teams to operate it, so it works the day we leave and keeps working after we do.

01

Content Audit & Gap Analysis

Before we build anything, we assess what exists. We inventory your current document landscape – identifying redundancies, outdated files, documents that have never passed through governance, and content that's missing entirely. This gives us a clear baseline and a prioritized build plan.

02

Metadata Architecture

We design and implement a metadata framework tailored to your organization – defining the categories, tags, and classification structures that make documents findable, sortable, and audit-ready. This includes document type classification, ownership fields, version and status tracking, and retention metadata aligned to regulatory requirements.

03

Governance Framework

We establish the rules and workflows that govern how documents are created, reviewed, approved, published, and retired within your organization – including document lifecycle policy, review and approval workflows, version control protocols, and retention schedules based on content type and applicable regulatory requirements.

04

Identity & Access Management

We implement role-based access controls within your CMS – ensuring the right people can access what they need, and the wrong people can't. This includes role mapping across departments, tiered permissions, onboarding and offboarding access protocols, and audit trail configuration so access history is logged and reportable.

05

Document Remediation & Migration

Existing documents are reviewed against your new governance standards, updated where needed, and migrated into the CMS with correct metadata, ownership, and access levels applied. Duplicates are resolved. Outdated documents are retired. What goes in is clean.

06

Change Management & Team Training

We treat adoption as a core deliverable, not an afterthought. This includes stakeholder communication planning, role-specific training for contributors, reviewers, approvers, and administrators, quick-reference guides and SOPs for common tasks, and a post-launch support period to address early adoption issues.

How It Works

Every CMS build follows the same structured sequence – from understanding what you have, to deploying something that works, to ensuring your teams actually use it.

01

Content Audit

We inventory your existing document landscape – identifying what exists, what's outdated, what's duplicated, and what's missing before a single configuration decision is made.

02

Architecture & Governance Design

We design the metadata structure, governance workflows, access control model, and retention schedules – then validate the design with your compliance and operations stakeholders.

03

Build & Migration

We configure the system, remediate and migrate existing documents, and apply governance standards to every file that enters. Clean in, clean out.

04

Training & Handoff

We train your teams by role, deliver quick-reference documentation, and remain available through a post-launch support window to ensure adoption holds.

The AdventuReliable Difference

Most CMS implementations fail at adoption – not at configuration. A platform gets stood up, a user manual gets distributed, and within six months the shared drive is back in use because the new system is harder to navigate than the old one.

We're documentation specialists first. That means when we configure your CMS, we're not just thinking about the platform – we're thinking about how every document inside it should be written, governed, and maintained to meet the standards your organization operates under. The technology is half the engagement. The governance framework and the people-side change management are the other half.

We don't hand you a platform and leave. We build the system, populate it properly, and make sure your teams know how to use it – so it works after we're gone.

What Good Looks Like After

When a well-governed CMS is in place, the difference is immediate and measurable across operations, compliance, and onboarding.

Documents Are Findable

Any employee can locate the current, approved version of any document in seconds – without knowing exactly which folder someone saved it in three years ago.

Governance Is Enforced by the System

No document enters without passing through the appropriate review and approval workflow. Version history is automatic. Retirement is tracked. The system does the governance work.

Access Is Role-Restricted and Auditable

Sensitive documents are visible only to the roles that need them. Every access event is logged. When an auditor asks who had access to what, the answer is a report – not a guess.

Audits Are Less Painful

Regulators and auditors can be directed to a clean, organized repository – not a folder labelled "OLD – DO NOT USE" with seventeen versions of the same policy inside it.

Who We Serve

AdventuReliable serves clients across the Greater Toronto Area and Ontario, with experience supporting organizations in federally regulated industries including banking and financial services. If your organization has been through an audit where document management was flagged – or if you're anticipating one – this engagement is designed for exactly that situation.
